Office Assistant/PA (Part-Time)
An opportunity has arisen for an enthusiastic and self motivated Office Assistant/PA to provide an efficient, professional and comprehensive administrative support to our London offices.
We are looking for someone with the ability to use their experience and ability to administer our head office and provide PA/Secretarial support to our Directors.

The Role...
- Dealing with clerical, secretarial and administrative tasks in the office
- Booking and organizing meetings and ensuring meeting rooms are fully equipped
- Coordinating office staff activities and allocating resources to ensure maximal efficiency and to enable task execution
- Screening telephone calls and handling requests and enquiries, when appropriate.
- Maintaining and organizing Directors’ diaries and planning and scheduling proper appointments and meetings
- Meeting and greeting clients and visitors
- Dealing with incoming calls, post, email and faxes including handling customers complaints and enquiries
- Liaising with suppliers, clients and other staff
- Using a range of office software including creating spreadsheets, composing correspondence and managing databases
- Maintaining and devising office systems, including filing, data management etc.
- Organizing the office layout and maintaining office supplies stationery and equipment
- Maintaining the condition of the office and arranging for necessary repairs
- Arranging regular testing for electrical equipment and safety devices
- Attending conferences and take minutes as and when required
- To assist with any other duties as and when required
You must possess...
- Excellent organizational and planning skills
- Excellent attention to detail
- Good knowledge of administrative and data management procedures and practices
- Knowledge of secretarial procedures and practices
- Be able to effectively deal with very confidential matters by being tactful
- Good communication skills
- Advanced skills in Microsoft Word, Excel and PowerPoint
- Excellent interpersonal and customer service skills
- Flexibility and desire to ‘go the extra mile’
- Reliability, trustworthiness and adaptability
- Ability to manage tasks across the business
